AGREEMENT OF DIRECTOR ROLES
The four existing directors continue in the same roles. Duncan takes on H & S and Rob Commercial and
marketing Agreed
It was also agreed that Tom McInnes would continue as Course manager and could come to all Executive
meetings but would have no vote

Mower not needed to be tracked.

CHAIRMAN’S REPORT:
Code of conduct, conflict of interest forms to be signed. Signed
Clarification of role of the golf committee given for benefit of the new directors.
England golf governance for golf clubs suggest we do reflection of the year: what went well and not so well.
SH said that the absence of the previous year’s minutes at the AGM was her fault and will not be repeated.
They will be included at next year’s AGM to be agreed. She also thought there was not a quorum but has
been assured that there was.
She requested that the committee reflects on the past year and come to the next meeting with views.
Sue expressed concerns on lone working of catering staff when the course was closed and no one was in the
lounge. Did staff need reminding to lock the outside kitchen door and until the door into the lounge cannot
be locked. We are awaiting the delivery of the swing door
DH explains that process should be in place to accommodate lone working, ST DB said workers are
supported.
Club calendars available. CMc to put it on the website
She enquired if the the door out to the patio needed attention.
FINANCE REPORT:
Finance Report 9th January 2023
The Bank balances as at 3 rd January £35k
Members Loans update – 12k to pay back in Mar 2023, leaving £24k to pay
back over the years 23/24 & 24/25.
21/22 Accounts published at Companies House.
22/23 as at the End of Dec 22 in line with budgeted loss.
VAT registration resubmitted, awaiting acceptance.
23/24 Membership and Subscription prices to be agreed ?,
Potential Proposal(s) – Either £725 and £30 put on card for those who pay by
1st April and change to DD (cost c.£1.2k per annum ) now that approx. 90
members paying monthly, Or £695 plus 5% admin fee for processing
Standing Orders. Both equate to a 6% increase over last year. Or other
options.
Green Fee charges etc to be reviewed in Feb / Mar
Budget to be started in Feb / Mar
Discussion about new subscription costs. Direct debit means we cannot charge an admin fee
We are currently breaking even, could go to 2% above inflation so 12% would be maximum.
General consensus is to set new membership at £725 with a £30 bar tab for anyone paying a full subscription.
Green fees also need to be reviewed
Small posts now in place down the road to the right of the 3 rd hole but netting still doesn’t reach the end. This
needs to be looked at.
Electricity / gas 1 year deal with British Gas light
Survey been carried out on right hand locker room. DH explained possible solutions.
COURSE REPORT:
We have not needed a Greens Meeting this month as the course has been very wet. The Greenkeepers are
doing a good job keeping the office updated with Course updates.

doing a good job keeping the office updated with Course updates. Our Winter work continues over the next couple of months. Andy Butler will still continue his program of winter work. He is going to attempt to air2 this week if he can get the machine out there. One topic that has been bought up is the mat on the red 8th tee
which is dangerous and slippery. We are going to either rip out and re turf in the spring or put a new mat
down. I will discuss this at our next greens meeting at the end of the month.
GOLF COMMITTEE REPORT:
Categories for membership entering competition to be clarified.
BAR/SOCIAL REPORT:
Some concerns over staffing, discussion followed.
Events could be successful, but people rarely offer to help. SH suggested a sub-committee, but LC said
unlikely that people will offer any help.
Discussion about heating and ST clarified decisions about new heating system. Discussion about ceiling and
heating in ladies changing room. Ceiling to be prioritized.
Stablefords still not been planned.
HEALTH & SAFETY:
JANUARY 2023 HSE REPORT
HSE Policy signed, sent out on BRS to all members and now posted on the board in the
lounge.
Cracks in the wall of the trolly store being monitored. No change in the last two months.

The 2022 fire report actions need completed for the kitchen fire door. Discuss
Actions from the 2020 safety review completed.
Reviewed actions from the 2021 asbestos report. Discuss
The kitchen CoSHH review completed with Laura. I am in the process of updating some
paperwork.
All old HSE files reviewed and old, no longer required documents removed.
Waste streams reviewed with Laura. Discuss

Form a plan for waste streams.
5mph sign in car park.
Issues from external H and S report have been completed.
Removal of asbestos is costly. Signs could warn workers that asbestos is present.
Chemicals in greenkeepers shed need to be reviewed.
Issues about recycling, legal requirement to recycle.
We do not appear to recycle anything. DH would like to see the waste certificate of our current provider.
DH suggests we should investigate alternatives.
HR:
Sickness needs to be reported more efficiently to allow Maurice to make appropriate changes to pay.
Concerns over number of hours worked by LM shared
CORRESPONDENCE/ COMMENTS BOOK
There are two car park spaces designated to specific members and they have had them for several years after
first bidding for then by auction and they have since paid annually. The future of these two spaces will be
discussed at the next meeting
